Headquartered in Center City, Philadelphia, PA, we are currently operating a hybrid remote office schedule.

Position Summary

Reporting to the Director of Finance and Accounting, the Finance and Accounting Coordinator supports the Management Team with NSC’s finance functions, fiscal policies, and financial management pertaining to grant compliance. Under the direction of the Director of Finance and Accounting and Executive Director, the Finance and Accounting Coordinator will manage and support the following areas: accounts receivable, accounts payable, general ledger, audits, financial reporting, and budgeting.

Essential Functions

1. Finance and Accounting Coordinator is responsible for providing daily accounting and finance support to a growing portfolio of program-funded projects.

2. Primary areas of responsibility include but are not limited to, assistance with month-end close, accounts receivable, accounts payable, financial requests, billing, balance sheet reconciliations, and financial reporting.

3. The Finance and Accounting Coordinator will review for appropriateness financial request invoices, ensure proper approval, and support with reconciliation as needed.

4. Reconcile credit card transactions while ensuring credit card usage complies with policies.

5. Collaborate with the Director of Finance and Accounting in performing internal audits of NSC’s programs to ensure financial grant compliance, fiscal responsibility, and audit preparedness.

6. Assist with annual and unscheduled external audits by ensuring accurate financial records such as receipts, invoices, credit card transaction histories, and all other financial documents are reviewed and readily available.

7. Maintain a petty cash ledger and manage associated policies to ensure accurate bookkeeping, safe cash-handling practices, and organizational compliance.

8. Assist the Director of Finance and Accounting in creating cash flow projections, expense reports, revenue forecasts, and all other relevant fiscal reports.

9. Coding of all incoming payments to accounts receivable in associated Excel spreadsheets.

10. Maintain a schedule that reflects accurate outstanding Accounts Receivable.

11. Contact vendors and grantors to collect overdue payments for accounts receivable.

12. Supports development and/or updates of relevant policies, procedures, and manuals.

13. Drafts policies and procedures for department and/or division to help assure clarity in department and/or divisional practices and adequate internal controls.

Non-Essential Functions

1. Adheres to NSC’s security guidelines and ensures the appropriate handling of sensitive information.

2. Facilitates and attends relevant staff meetings to promote communication and execution of goals.

3. Completes special projects specific to the function of the department or as needed for the department as directed by the Supervisor.

4. Other duties as assigned within the scope of position expectation.

Knowledge, Skills, and Abilities

• Basic understanding of NSC’s mission, vision, values, programs and services and business plan.

• Knowledge of GAAP and accounting procedures.

• Proficiency in Microsoft Office, specifically in Excel and Word.

• Possesses strong interpersonal skills as demonstrated by compassionate, courteous, cordial, cooperative, and professional interaction with diverse groups of co-workers,

external business partners, and the community.

• Ability to operate a computer and use a variety of common software programs including Zoom, spreadsheets, and customized databases.

• Adheres to all NSC and departmental policies and procedures.

• Strong written and verbal communication skills and effectively communicate with individuals and groups.

• Ability to effectively manage projects through delegation of responsibilities, communicating objectives, setting goals, driving results, and coordination.

• Ability to effectively present topics and information and promote understanding to individuals and groups.

• Ability to work in a team structure – demonstrating ability to collaborate and contribute to the team’s work.

Education and Experience 

Minimum Experience: 3+ years of accounting and/or financial reporting. Experience working with federal

grants and/or not-for-profit environment a plus.

Minimum Education: BA/BS degree from an accredited college or university in Accounting, Finance, or

related field of study.

LOCATION AND HOURS: This is a full-time, in-person position based in our Philadelphia office with the potential for hybrid work as team needs allow. Our regular hours are Monday to Friday, 9:00 am to 5:00 pm, and this position requires working occasional evenings and weekends. We have COVID-19 safety protocols in place, and we revisit and update them in accordance with city, state, and federal guidelines.

COMPENSATION: The salary range is $47,250 to $55,000 commensurate with experience. The benefits package includes generous vacation and sick leave; paid sabbatical leave; summer hours; 77% employer-paid health, dental, and vision coverage; short-term disability, long-term disability, and life insurance, 403(b) with an employer match.
